Late & Cancellation Policy for Clinical Visits

Here at The Rabbit and Bird Doctors, we are committed to providing the best possible care for your pets. To ensure that all clients and their pets receive timely attention, we have implemented the following late and cancellation policy:

1. Appointment Time:

We ask that you check into reception when you arrive and please arrive at least 5 minutes prior to your scheduled appointment to complete any necessary paperwork and to ensure we stay on schedule for all clients. If you are running late, please call us at 03 9416 3100 as soon as possible to notify us.
 

2. Late Arrival

If you arrive 10 minutes late for your appointment, we will do our best to accommodate you, however the clinic runs back-to-back appointments, and your appointment may be delayed. 

If you arrive more than 10 minutes late, we will do our best to accommodate your consultation, however, we may need to reschedule your appointment to another time. Depending on availability, this may be rescheduled for a later time or different day. 
 

3. Rescheduling or Cancelling an Appointment

If you need to reschedule or cancel your appointment, please contact us on 03 9416 3100 at least 48 hours prior to your scheduled time. If you cancel within this period, a non-refundable $50 deposit will be required to secure your next appointment. This deposit will be deducted from your total bill when you attend. 
 

4. Repeated Late Arrivals or Not Turning Up

If you arrive late on multiple occasions or fail to attend, you will be required to pay an upfront nonrefundable fee to secure any future appointments. The fee is equivalent to the cost of a consultation.
 

5. Referrals and Second Opinion Appointments  

At the time of making an appointment you will be required to pay a non-refundable $50 deposit. This deposit will be deducted from your total bill when you attend. 
 

6. Grooming appointments 

At the time of making an appointment you will be required to pay a non-refundable $50 deposit. This deposit will be deducted from your total bill when you attend. 
 

7. Surgery and Procedures (CT scans, Ultrasounds and Xrays) 

At the time of making the appointment for surgery or a procedure, you will be required to pay a non-refundable $150 deposit, this deposit will be deducted from your total bill when you attend.
